Visiting consultant payouts, worked out from the work they actually did

Endodontists on Tuesdays, an orthodontist twice a month, an implantologist on call. Dental Software India applies each consultant's percentage split to the procedures they complete, takes the lab cost off first if you agree that with them, and builds a monthly statement both sides can check line by line.

In short: Dental Software India pays visiting dental consultants from completed work: a percentage split per consultant on all procedures or chosen categories, optional lab-cost deduction before the split, and a monthly statement that moves from Draft to Approved to Paid with a TDS (194J) calculation. It is included in the Clinic plan at ₹2,999 a month and the Chain plan.

How does a consultant payout work?

Set the split

Add the consultant with their speciality, visiting days and a percentage, for example 40% of endo work or 50% of everything they do. Tick "deduct lab cost" if crowns and aligners are shared after the lab bill.

Assign the work

On the tooth chart or the plan, the RCT on 36 is assigned to the endodontist. The chart pad shows the projected share for this month before the work is even done.

Generate the month

At month end one click builds a draft statement per consultant from every completed procedure: date, patient, tooth, fee after discount, lab cost, percentage and share.

Approve and pay

Check it, mark it Approved, pay by UPI or bank, and mark it Paid with the UTR. Paid statements are locked so later edits cannot change them.

What does a monthly statement look like?

This is a sample statement with illustrative figures for a visiting endodontist on a 40% split with lab-cost deduction switched on. Patient names are replaced by codes.

Below the table the statement shows the TDS note: if this consultant's professional fees from your clinic cross ₹50,000 in the financial year (the section 194J threshold from 1 April 2025), TDS at 10% would be ₹868 and the transfer ₹7,812. You deduct and deposit it and issue Form 16A; the software does the arithmetic, not the filing.

For endodontists, oral surgeons and orthodontists who visit several clinics

If you are the consultant, a statement from each clinic you visit, built from the procedures you marked done, ends the month-end argument over a WhatsApp photo of a register. You can see the tooth, the date and the fee behind every rupee, and any lab cost that was taken off first.

  • Endodontists: RCTs are priced by tooth type automatically, so a molar and an incisor never get the same line.
  • Oral surgeons and implantologists: the implant crown's lab bill can come off before your share, exactly as most clinics agree it.
  • Orthodontists: aligner sets are lab cases with their own fee, so long treatments split cleanly month by month. See orthodontic practice software.

How do other systems handle consultant fees?

BestoSys lists "specialist fees" only in its Platinum tier (bestosys.com/plans.php), and Clinicia's features page does not mention consultant payouts (clinicia.com/features/). Consultant payout questions

How is a visiting consultant's share calculated?

Each consultant has a percentage split that applies to all their completed procedures or only to chosen categories such as endo, implant or ortho. When a plan row assigned to them is marked done, the fee after any discount goes into that month's statement, and the split is applied line by line.

Can the lab cost come off before the split?

Yes, per consultant. Tick "deduct lab cost before the split" and the lab fee recorded on the linked lab case (for example a crown or an aligner set) is subtracted from the fee before the percentage is applied. The statement shows the fee, the lab cost and the share on each line.

Does Dental Software India deduct TDS under section 194J?

It shows the calculation, it does not file anything. Each statement shows TDS at 10% and the net transfer for when the consultant's professional fees from your clinic cross ₹50,000 in the financial year (the threshold from 1 April 2025). You deduct it at payment, deposit it and issue Form 16A. Confirm the treatment with your CA.

How is GST handled on consultant payouts?

Healthcare services by a clinic or a registered dentist are generally exempt from GST, so treatment fees usually carry no GST. Whether a visiting consultant must charge GST to your clinic depends on their own registration and turnover. The statement does not add GST; ask your CA if a consultant sends a GST invoice.

Can a consultant see their own statement?

Today the clinic shares the statement (print or PDF from the browser) after approving it. A consultant-only login limited to their own patients and statements is planned, and so is a combined statement for a consultant who visits several clinics on one account.

Which plan includes consultant payouts?

Visiting-consultant payouts are part of the Clinic plan at ₹2,999 a month and the Chain plan at ₹5,999 a month, both with a 14-day free trial. A consultant counts as one user only if you give them a login.
