Dental practice management software for Indian clinics

Dental software features for Indian clinics: tooth chart, WhatsApp plans and billing

Dental Software India has everything a serious dental practice management system needs, from the FDI odontogram to GST billing, plus the WhatsApp, UPI, EMI and visiting-consultant workflows that Indian clinics have been running in Excel and phone calls.

In short: Dental Software India covers what dental practice management software in India must do (FDI odontogram with roots, BPE screening, treatment plans, chair-wise appointments, IOPA and OPG imaging, GST billing with UPI, recall and ABHA number capture) and adds five extras: WhatsApp plan approval, outside-lab tracking, EMI schedules, voice charting and visiting-consultant payouts. Primary-teeth charting, Universal and Palmer views, full six-point perio and ABDM record linking are planned, not live.

Standout 1

Treatment-plan approval on WhatsApp

The patient gets a WhatsApp message with a secure link to the plan: the teeth highlighted on a chart, each procedure and fee, EMI options. They tick what they accept, sign an e-consent by typing their name and pay the deposit by UPI, all from home.

Why it wins: Big treatment decisions in India are usually made at home with family, not at the front desk. We could not find this flow in the public material of the Indian tools we reviewed (October 2026).

  • Tooth chart, itemised fees and EMI options on one page
  • E-consent stored with typed name, time, IP and a fingerprint of the consent text
  • Deposit confirmed by your desk, or automatically by your payment gateway

Standout 2

Outside-lab case tracker

Each crown, bridge, denture or aligner case gets a private link for the dental lab: teeth, material, shade, photos, instructions and due date. The lab sets In production, Shipped or Remake; patients get a WhatsApp message when the clinic marks the work received.

Why it wins: No more "is my crown ready?" calls or missed fittings. The lab sees only that case, with a patient code instead of the patient's name or phone.

  • Lab updates status and notes without an account
  • Overdue cases flagged on the dashboard
  • Link can be revoked and reissued at any time

Standout 3

EMI and staged payment plans

Split a ₹45,000 implant into 3, 4, 6 or 12 monthly instalments after a deposit. The patient picks the option on the plan page and the schedule is created against the plan.

Why it wins: Patients say yes to bigger treatments when the monthly number is small. We could not find patient-chosen EMI in the public material of the Indian tools we studied.

  • UPI AutoPay collection through your payment gateway, or manual UPI/cash marked paid in one click
  • Collections post to the ledger against the plan
  • WhatsApp reminder two days before each instalment

Standout 4

Voice charting in English and Tanglish

Say "36 MOD composite, 46 RCT planned" or "muppathi aaru, crown, PFM" and the chart and plan fill themselves while your gloves stay on.

Why it wins: Dentists chart between patients without touching a keyboard. Uses the browser's speech recognition (Chrome works best); the dentist checks every entry.

  • FDI numbers, surfaces and procedures understood
  • Tamil number words for teeth 11 to 48
  • Every voice entry shown for confirmation before saving

Standout 5

Visiting-consultant payouts

Endodontists, orthodontists and implantologists visit on fixed days. Dental Software India applies each consultant's percentage split to the procedures they complete and creates a monthly payout statement per consultant.

Why it wins: Many Indian clinics run on visiting consultants, and the monthly split is usually done in Excel today. A line-by-line statement both sides can check ends the argument.

  • Percentage split per consultant, on all work or chosen procedure categories
  • Monthly statement: Draft, Approved, Paid with a TDS (194J) note
  • Statement shared by the clinic; a consultant-only login is planned

Everything a serious dental clinic needs

The baseline, done properly. Every plan includes these.

Graphical odontogram (FDI)

Permanent teeth 11 to 48 on crown and root silhouettes: caries, existing restorations, crowns, RCT, implants, missing teeth and planned work by surface. Primary teeth, mixed dentition, Universal and Palmer views are planned.

BPE and periodontal notes

BPE by sextant (0 to 4 and *), bleeding and plaque percentages, a pocket depth per selected tooth and notes. Full six-point perio charting is planned.

Treatment plans with phases and estimates

Phase the plan, assign providers, print or WhatsApp an itemised estimate with EMI options.

Appointments by chair and doctor

Chair-wise day view, visiting-consultant days, WhatsApp confirmations and no-show tracking.

Clinical notes, prescriptions, consent forms

Clinical and voice notes, printable prescriptions, and consent forms written in your clinic's own wording and language.

X-ray, IOPA and OPG storage

Upload images or PDFs from a phone or from your sensor software's export and tag them to a patient and tooth.

Billing with GST, UPI, card and partial payments

GST where it applies, UPI QR at the desk, partial payments and running balances per family.

Recall reminders

Six-month recall on WhatsApp a week before the due date, repeated weekly up to three times; the patient replies with a preferred day and the desk books the chair.

Google review requests

A review link sent after the visit, only to patients who rated the visit well first.

Inventory for consumables

Composite, gloves, burs and implants with reorder levels and expiry dates.

Multi-clinic, roles and audit log

Branches, four roles (owner, admin, staff, viewer) and an audit trail of creates, edits, deletions, plan approvals and payments. Desk-only and consultant-only roles are planned.

ABHA number on the patient record

Capture the patient's 14-digit ABHA number with consent. ABHA creation, ABDM record linking and FHIR export are planned and need your clinic's own HFR registration.

Frequently asked questions

Does charting feed billing and the treatment plan?

Yes. Every planned procedure on the odontogram creates a plan row with the fee from your fee list and the assigned provider. When it is marked done, the bill line, consultant split and recall date are generated from it.

Can I attach X-rays and photos to a tooth?

Yes. Upload IOPA, OPG and intra-oral photos (JPEG, PNG, WebP or PDF, up to 20 MB each) from a phone or your sensor software's export and tag them to a patient and tooth. Photos can also be attached to a lab case so the lab sees them on its link.

Does Dental Software India work on a phone or tablet?

Yes. Dental Software India runs in any modern browser on a desktop, laptop, tablet or phone, so the front desk can use a PC while the dentist charts on a tablet at the chair. Nothing is installed on the clinic computer and updates arrive automatically.

Can patients get prescriptions and consent forms in Tamil or Hindi?

Consent forms are written by your clinic, so they can be in Tamil, Hindi, English or any language you use; Dental Software India stores a SHA-256 fingerprint of the exact text each patient agreed to. Prescription advice is free text in any language. The app screens and automatic WhatsApp messages are in English today; Tamil and Hindi message templates are planned.

Is GST handled correctly for dental treatment?

Dental Software India lets you mark each item on the fee list as GST-exempt healthcare or taxable, such as cosmetic whitening or products sold at the counter. Invoices show GSTIN, HSN or SAC codes and tax lines only where they apply. Confirm the treatment of each item with your accountant.

More plans accepted. More chairs filled.

14-day free trial on every plan, no card needed. Assisted migration from Practo Ray, Clinicia, Dentee or Excel included on Clinic and Chain.
