A dental recall is a planned invitation for a patient to return: the six-month check-up and scaling, a review after a root canal, an implant check at one year, or a monthly orthodontic adjustment. US software calls it "recare". Recall matters because it is the cheapest source of booked chair time a clinic has: the patient already trusts you and already has a chart.

In India, WhatsApp is where patients actually read messages. SMS is crowded with OTPs and promotions, email is rarely checked for personal matters, and phone calls from the front desk are slow and often unanswered during work hours. What do you need before you start?

  • A WhatsApp Business Platform number. The free WhatsApp Business app on a phone cannot send automated reminders at scale. You need the Business Platform (API), usually through a provider. Step 1: Collect WhatsApp consent at registration

Add a line to the registration form, on paper or tablet: "I agree to receive appointment reminders, recall and treatment information from [Clinic] on WhatsApp at this number." Step 4: Get the timing right

  • First message: about 14 days before the due date, so patients can plan around work and school.
  • Follow-up: 7 days later if there is no booking, with a slightly different wording.
  • Last try: on or just after the due date. Some clinics add a short voice call in the patient's language at this point.
  • Stop: after three unanswered messages, mark the patient as "recall unanswered" for a personal call at the next quiet hour. Repeated messages lead patients to block the number, which hurts the clinic's quality rating with Meta.
